The purpose of this role is to provide assistance to the HR and Resource & Estate Managers in their daily duties. The HR Assistant is responsible for administering the support services for the Group including HR, Learning and Development and Health & Safety, incorporating the group’s values into every procedure.

The Ideal Candidate will look something like this:

·         Previous experience in recruitment and giving first line HR support and guidance


Competencies & Qualifications

  • Advanced knowledge of Microsoft Word and Excel with the ability to create new forms and systems
  • A competent level of knowledge of WINTA Lite & other HR Management software after suitable training
  • CIPD qualified or studying towards
  • Previous experience in leading on recruitment campaigns
  • A good understanding of HR Mentor processes & site administration
  • Good written and verbal communication skills
  • Basic knowledge of employment law and HR procedures
  • Ability to prioritise a varied workload
  • Be approachable and helpful to management and members of staff regarding HR queries.
  • Competent in Maths and English
  • A collaborative and innovative approach to working
  • Act with integrity at all times when working with stakeholders

Main Duties & Accountabilities


  • Manage and administer the recruitment and interview process of new employees
  • Manage the administration of new starters and leavers for the group
  • Manage the new starter induction process for the group


  • Assist with the roll out of new HR software
  • Collate and update the sickness reports for the group
  • Collate and update the annual leave reports for the group
  • Produce staff offer letters, contracts and contract change letters
  • Maintain budget and salary spreadsheets for annual reviews
  • Scan and keep up to date all employee files
  • Administration of WINTA Lite. Inc. employee clock-ins and overtime checks
  • Arrange and manage the booking of external HR visitors
  • Maintain and update the Group Disaster Recovery Plans/Group Staff List/Fire List/Floor Plan and Organisation Charts
  • Create and send email bullets to the group for births, marriages, new starters etc.

Training & Development:

  • Manage the booking of delegates on to CII and NVQ courses
  • Assist the Resource & Estate Manager with the roll out of staff training
  • Administer CII membership renewals
  • Assist and manage further training & qualification requirements for the group
  • Create study agreements for approved studies

Employee Relations:

  • Manage staff performance reviews for the duration of their probation period
  • Assist in creating minutes/records of meetings with the HR Team for disciplinary and grievance issues
  • Assist the HR Manager in the maintenance, updating and creation of Human Resources documents and policies for the Coversure Group.
  • Assist the group with the administration of staff annual appraisals and bonuses
  • Work with the HR Manager to oversee payroll deadlines and collate supporting paperwork


  • Manage monthly anniversary voucher process
  • Manage Christmas voucher and card process
  • Administer the Death in Service process


  • Assist the HR Advisor with updating the HR Mentor website, uploading new documents, updating current documents and notifying franchisees of any changes
  • Support and advice franchisees with recruitment
  • Create and post job adverts for franchisees and advise on interviews and induction

Health & Safety:

  • Assist with the implementation of new HR & H&S processes
  • Keep DSE assessments up to date
  • Keep Homeworkers Risk Assessments up to date

Reporting & Audits:

  • Run employee file audits if and when required


  • Observe company procedures in the following areas to ensure the firm remains compliant with FCA and other regulations by completing Broker Assess modules
  • Conduct Risk/ Treating Customers Fairly (TCF)
  • Conflicts of Interest
  • Financial crime including:
  • Money laundering
  • Bribery Act 2010
  • UK financial sanctions
  • Data security (including Data Protection Act)
  • Produce and maintain own personal development plan with Line Manager
