Administration Manager/Assistant 

An amazing opportunity has arisen for one of our clients based in Southgate for an experienced Administration Assistant with a Pharamaceutical background/knowledge to support the whole team and the Head of department.

You will be supporting the Head and a team of 15 with day to day administration as well as, budgeting, taking minutes in meetings, arranging necessary travel. 

Salary - £30,000 - £35,000 + amazing benefits

Location – Southgate

Hours – Monday to Friday  


  • Assist in the coordination and administration of the annual PD-RA Budget and prepare Summary Sheets
  • Provide monthly reports of expenditure against budget based on Finance Office data
  • Assist in the preparation of Capexes and track expenditure against Capexes for some team members
  • Facilitate the processing of invoices for the team
  • Prepare and/or check staff expenses on a monthly basis
  • Organise internal and external meetings as required and take minutes at internal team meetings
  • Maintain Outlook calendar for the Head, Global R&D
  • Organise travel, hotels and attendance at Meetings/Conferences for the Head, Global R&D and senior staff as required
  • Provide administrative support for any recruitment activities and orientation programmes  for new staff
  • Assist in the preparation and execution of Research Agreements and Consultancy Agreements and maintain a central repository
  • Coordinate IT requirements and other team admin support as needed
  • Undertake additional tasks as requested to ensure the smooth running of the unit

Essential experience:

  • Strong background in Office Administration is essential
  • Background in Pharmaceuticals is essential

  • A proven ability to plan, problem solve and prioritise
  • A warm, enthusiastic and outgoing personality is critical
